SuperCompetent KEY #3: Attention

This month’s article correlates to the third key in my newest book SuperCompetent: The Six Keys to Perform at Your Productive Best (Wiley), to be released on August 16: ATTENTION. Simply put, attention is the ability to concentrate and not get distracted.

SuperCompetent workers are always tightly focused: on getting the job done, on their department’s success, on their company’s success, on the success of their own careers. They home in like a bloodhound on the task at hand, rather than flitting from one thing to another. Distractions are ignored or shunted aside. They avoid negative chat and whining and are proud of what they’ve accomplished at the end of the day.

SuperCompetent people don’t have nifty time-stretching devices like the one Hermione uses in the Harry Potter series to cram in extra courses at Hogwarts. Nope, they have the same number of hours and minutes we do, but they use them more efficiently. They know how to pay Attention to their work, and nothing else, when it’s necessary—so they can stop paying Attention when they need to devote time to other important parts of their lives.

When fine-tuning your ability to pay Attention, it’s especially important to avoid an overdependence on business technology. You must school yourself to ignore the Internet, except where it’s necessary to do your job. Don’t take a few minutes to check your eBay auctions or Facebook page when you should be working, and for heaven’s sake, don’t let your email rule your life.

Modern technology can be a phenomenal productivity tool, but it will eat your day alive if you let it. So don’t. Learn to turn off Outlook, block out those distractions any way you can, and get to work. You don’t have to be a social pariah, but don’t let your social interactions (online or in real life) take over your workday, either.

To achieve a SuperCompetent Attention level, you have to constantly work on these five factors (which also correspond to the chapters in my new book):

1. Stay focused consistently on your work. Don’t get distracted. No, do not open Outlook, and turn off all your email alerts. Sure, it may only take a few seconds to check your mail or go for a cup of coffee, but any interruption breaks your concentration, wasting valuable minutes as you refocus on your task.

2. Leave the distractions for your downtime. Most people lack the ability to refuse attractive distractions, and this costs Corporate America billions of dollars per year. When you’re supposed to be working, work. Wait for lunch or break time to check YouTube or your social media sites.

3. Limit your multi-tasking in order to maximize your productivity. Despite our technological achievements, it’s difficult for the human mind to focus on more than one thing consciously at a time. Rather than achieving more, you end up slowing down because your perceptual channels get jammed. Stop opening 17 browsers.

4. Don’t allow socializing to overwhelm your productivity. Human beings are social creatures, so of course you’ll need to interact with the people around you—but don’t let it get out of hand. This is especially a problem now that it’s so easy to go online and lose yourself in social media of all kinds.

5. Don’t let your productivity technology take over your life. Realize that your handheld, cell phone, laptop, and other forms of business technology are just tools to help you become more productive—end of story. You need to be able to turn all these things off at the end of the day; how else can you ever be off work?

It all boils down to time. Do you really have time to check your social media accounts constantly, especially if they have nothing to do with work? Of course not, but doing so is tempting, particularly when it takes you away from tasks that are boring or onerous. The fact that we can be constantly connected makes it even easier to lose track of what we’re doing and waste time enjoying ourselves with our shiny new technology and social interaction.

But let’s face it. There’s a time for work and a time for fun, and most of the time, you can’t do both effectively at the same time—and accomplish anything worthwhile. Focus, focus, focus. For the working professional, social media, handheld devices, email, and the like are tools. You need to learn to learn to use these tools for what they’re intended, instead of letting their expanded purposes of entertainment get out of hand in the workplace.

You shouldn’t let their utility trick you into trying to do too much at once, either. Just because it’s easy to communicate via email and social media and to get more work through your contacts, don’t get sucked into the multi-tasking trap. You’re only human; you can only do so much.

Co-workers, meetings, and inefficiency: the big energy bandits in the workplace

The workplace is full of energy drains, even for people who work at home. You get caught up in the routine, and lo and behold, hours have passed — and you’ve expended precious energy without much return. If this sounds like your work life, maybe you ought to try a few of these prescriptions.

1. Speak up when you have too much on your plate.  If you’re overworked, you’ll eventually hit a point where your personal energy falls to nil and nothing gets done. Do what you can to streamline your work processes, negotiate deadline extensions, simplify your tasks, and delegate in order to get things done.

2. Be unavailable. That’s right. When someone says, “Do you have a minute?” it’s okay to say, “Not right now.” You don’t have to be rude or impolite, but you do have to be honest. Get over wanting to feel needed, or you’ll have no end of work.

3. Prepare to have a great meeting.  As vehicles for communication, meetings can be extremely valuable mechanisms for disseminating vision, crafting strategic plans, and developing responses to challenges and opportunities — so be ready for them. The productivity of any meeting starts before the meeting begins.

4. Create a meeting code of conduct. Chaotic, over-long meetings can leave you frustrated and with minimal energy. The next time you attend a meeting, request the opportunity to lead an exercise aimed at making the meeting more productive and less draining.

5. Schedule your interruptions. If your co-workers are constantly interrupting your flow of work, set up regular check-in times, or block out interruptible times when you can sit down and talk — and make yourself unavailable otherwise.

6. Challenge the status quo. If you find yourself following energy-wasting company rules you see no purpose for, ask why. The answer may simply be “Because that’s the way we’ve always done it.” If a policy’s senseless and you make enough fuss about it, you may be able to change things. 

7. Argue for the tools and equipment you need. There’s no reason you should have to make do with a shared printer down the hall. If you argue intelligently for the tools you require to be more productive, you just might get them.

8. Become more efficient and get things done faster.  Find ways to handle repetitive tasks more quickly, and look at how you can eliminate redundancy in your workplace. If you can lower your standards or take shortcuts without hurting your work quality — well, what are you waiting for?

Take a little time to figure out how to keep your typical distractions at bay, and prevent even minor disruptions and disturbances. If you want maintain your energy and get things done, learn to create situations that are suited to concentrated, focused work without interruptions. You can do this by eliminating your excuses, building barriers, creating preventive assertions, and challenging your own thinking.

Me, You, and the Handheld

These days, most of us use handheld technology in all aspects of our daily lives, blurring the boundaries between work and home. Has this made you feel more overworked and less energized? If so, you need to learn how to break free from technology, turn it off regularly, stop letting it control you, and unplug in ways that boost your energy. Let’s chat about your electronic habits, and about how to regain control.

1. Plan your screen time and stick to it. It’s unnatural to focus on a computer or TV screen for hours on end instead of interacting with people. Yet this is precisely what most people do — and the subsequent feelings of social isolation and depression can be quite damaging to your energy level.

2. Put your life first. Don’t let technology eat up your free time; technology exists to simplify your life, not to complicate it. It’s up to you to keep it in check. A good start is to turn off all electronics an hour before bedtime.

3. Keep your electronic in-box empty. Slash through the electronic detritus to maximize your efficiency, and therefore your energy level. If you let your voicemail and email inboxes get overcrowded, important communications might fell through the cracks, straining a friend’s or client’s trust in you.

4. Get your computer organized. Too much computer clutter can drain your energy just by forcing you to hunt for things that should be easy to find. Delete old files, reorganize folders, and give files names that make their contents obvious at a glance.

5. Turn off your technology when you’re on personal time. You can’t recharge your personal energies if you’re always working. Once the workday is over, make yourself electronically scarce.

6. Avoid Obsessive Compulsive Technology Disorder. You don’t need to check your email constantly. Doing so is forces your brain to start/stop/start/stop constantly, which requires a huge amount of mental energy. Instead, turn off the technological distractions so you can get work done.

7. Just say no to instant messaging.  Instant messaging is a great way to stay in contact, but too much of it steals time and energy you need for other work. Don’t be afraid to turn on the “DO NOT DISTURB” feature when you want to focus on a task that requires your complete concentration.

8. Match the message to the medium. Use the right means of communication for a particular message. Sometimes email is the most efficient way to communicate with a particular person; sometimes it’s better to pick up the phone.

Electronic devices are supposed to make your life easier, not more stressful. If they’ve begun to dominate your life — including your time off — step back and decide whether all that stress is worth the reward. It may be time to shed some of that technology, or at least to put it back in its place.

Does your working environment boost or bust your productivity?

Studies have proven that lighting, décor, smell, noise level, temperature, ergonomics, and color can all affect how you feel. If your environment’s draining you dry, try these tips for a little refreshment.

1. Make sure your workspace is ergonomically designed.  Constant discomfort is a great way to lose energy fast. Look into the possibility of getting ergonomic tools and furniture for your workplace, so you can stay productive.

2. Avoid RMIs. If you perform the same motions over and over again, you may end up with a repetitive motion injury (RMI) like carpal tunnel syndrome, Blackberry thumb, or bursitis. If you’re having a nagging pain, see your doctor and determine what behaviors might be causing it — and what you can do to avoid it.

3. Create a well-lit office space. Bad lighting can hurt you in several ways. Insufficient light causes eyestrain and headaches, both of which are energy bandits. Plus, fluorescents lack the blue light that apparently sparks greater energy in workers. If you can, work under bright incandescent light or natural sunlight.

4. Strive for a neutral background. A distracting office environment can cause you to waste energy on things that don’t really matter. Your best bet is not to have anything around that your body has to use energy to either pay attention to or to ignore.  

5. Limit your overexposure to electromagnetic radiation. While there’s nothing wrong with a little electromagnetic radiation (after all, that’s what sunlight and radio waves are), it’s a bad idea to get too much of it. Stay at arm’s length away from the screen, and be sure your monitor conforms to Swedish MPRII guidelines. 

6. Avoid eyestrain. Protect your eyes from your computer by taking regular breaks, and by positioning the screen the proper distance away. Irritated, blurry eyes make it difficult to dedicate your energy to worthwhile pursuits, and staring at a computer screen that’s too close to you can quickly give you a headache.

7. Insist on proper ventilation. If you and your co-workers seem to be getting sick a lot, or if you’re constantly having to fight off mold, consider checking your building’s ventilation system: the building itself might be sick.

8. Reduce background noise. Studies show that constant low-level noise in open-style offices increases stress and lowers motivation, and impairs the brain’s cognitive function in the prefrontal cortex. One way around this is to listen to music while you work, especially if you use a set of noise-reducing headphones.

Does your environment boost or bust your energy? If you’re not sure, take a close look and learn how to assess the impact of your environment.  All it takes is a few simple changes to boost your energy to the ceiling.

Create closure on things that bother you and eliminate frustrations

Isn’t it amazing how much energy you can spend stewing about things? If you get too agitated, you might be completely unable to focus on other tasks. If that’s the case, you’re no good for anything until you can calmly address the issue. You need to learn to create closure on the things that bother you, so you can get on with life. Here’s how.

1. Avoid energy vampires. Some people can drain your energy in five minutes flat. Stay away from people who constantly criticize you, who gossip and create drama, who are mean, or who are just incurably rude.

2. Be assertive in annoying situations. If don’t state your needs in plain English, you’re unlikely to get what you want. Being assertive isn’t the same as being aggressive; be polite, and let the people around you know you’re willing to help out by changing your own behavior if necessary.

3. Clear up nagging reminders.  If you’ve got to-do items that have been staring you in the face for months, set aside some time to tackle them and get them done. Leaving things undone can zap you with guilt that’ll drain your energy.

4. Don’t leave things half-done. Don’t quit halfway. Instead of letting postponed tasks leave you frustrated, set aside some time and plow through them until they’re done, so you can move on to more productive tasks.

5. Occupy yourself productively while waiting. It’s bad enough when we waste time, but it’s worse when someone wastes it for us. If you’re stuck waiting somewhere, use to time to edit, knit, pay bills, read — anything productive.

6. Don’t let boredom get the best of you. Are you doing the same boring things every day? If so, give yourself a shot in the arm energy-wise by jumping out of that rut with some new activities. Change your routine and live a little!

7. Look within for the source of your frustration. If you can’t pinpoint an exterior source of your irritation and frustration, look within, try to determine the source of the problem, and resolve it.

8. Set limits and boundaries with others. Learn to say no. Saying no isn’t about being selfish; it’s about setting healthy parameters for yourself and recognizing reality, and learning to protect your energy level, your health, and productivity.

It’s crucial to learn how to create closure on the things in your life that bother you. Do something about them. What are you tolerating?  When do you experience frustration?  What do you do when someone wastes your time?  All of those situations require closure, so you can direct your energy toward more positive pursuits.

Help! I feel brain-dead…how can I possibly be productive?

You eat well, you get enough sleep, you exercise every day, but your energy’s at rock-bottom. Maybe it’s toward the end of the work day. Maybe it’s the end of the week.  Maybe it’s the first day of your menstrual cycle. Maybe your biorhythms are at a natural ebb. Or maybe it’s the dead of winter, and any sane mammal would be hibernating instead of driving to work while it’s still dark out. Whatever the problem, here are a few quick fixes that can help you get back on track.

1. Recharge regularly. If you’re staring at a computer all day, you’re probably not moving much — and lack of movement translates to lack of energy. Take a break and do something that gets you moving.

2. Get outside and get some sunshine. A lack of fresh air and sunshine deprives your body not only of fresh oxygen but also of Vitamin D, which is produced by sunlight falling on your skin. You need at least 10 minutes of sunlight a day.

3. Stretch at your desk. If your muscles are stiff, tight, and sore, that means they’re too tense. The more tension in your muscles, the less power you have, because tenseness impedes oxygen and blood flow, resulting in lower energy.

4. Strike a pose. Lack of flexibility can lead to lower energy. However, studies show that people who practice yoga are less anxious, have more efficient heart and respiratory function, and are more resistant to stress.

5. Engage in some silliness. If you take life too seriously, you’re setting yourself up for stress, depression, and physical ailments that can sap your energy. Instead, start a silly hobby, tell your co-worker a joke, or read a Calvin and Hobbes book.

6. Try some aromatherapy. Recharge your energy by jolting your sense of smell. Keep small bottles of invigorating scented oils like lavender, lemon oil, orange, and spearmint at your desk, and take a whiff when you’re feeling down.

7. Try some ancient exercises. One way to avoid modern-world burnout is to be willing to try something old. Ear rubs, acupressure, and deep breathing can all help you release some of that pent-up pressure that can lead to energy loss.

8. Feel good in your skin. Ditch clothing that makes you uncomfortable; that’ll only lead to irritation and associated energy loss. Wear sensible shoes, avoid ties, try colorful clothing, and if you’re a woman, go braless occasionally — every hour you wear a bra makes it more likely you’ll end up with breast cancer.

So open your mind and get out the door; take a deep breath and strike a pose; or act like a kid and laugh ’til it hurts.  These tricks also come in handy for an energy boost during your mid-afternoon break, or when you’re trying to get off the caffeine roller coaster.

What to do when you feel your energy slipping away…

PACING:  Plug Me In

Even if you start out the day with plenty of fuel, you may eventually feel that energy slipping away. You can be zipping along just fine, then — Boom! — you hit what sports enthusiasts call “the wall.” How well you handle your energy budget will determine whether you break through the wall and move on to the rest of your day, or just bounce off and slog through the mental mud. Try these tips to stay on the straight and narrow.

1. Stand instead of sit. You’re not designed to sit for hours on end. Work regular physical movement into your work day, especially if most of your work is conducted at a desk. At the very least, stand up and stretch occasionally.

2. Give yourself a break. Failing to take breaks can affect your short-term energy and long-term health. Take a few minutes off from the grind occasionally so your body can restore your strength and energy.

3. Walk around on your breaks. Instead of drinking coffee and reading the paper while on break, walk around a bit. This lets your body process glucose better, giving you a burst of energy that’ll kick in about the time you get back to work.

4. Try creative desk energy renewal strategies. Jobs requiring an intense focus can be intensely draining. Take an occasional break and renew yourself through meditation, deep breathing, prayer, stretching — whatever works for you.

5. Find an encouragement partner.  If you’re stuck with a boring task, find someone you can call up when you’re temporarily burnt out. You can perform the same function for your partner; encouraging them can keep you on track, too.

6. Watch your posture. Don’t slouch. Doing so uses up more energy than sitting up straight, and can also stress your musculature and skeleton. Getting a good, ergonomic chair can go a long way towards maintaining your proper energy level.

7. Pace yourself. Remember, you’re not a machine; don’t squander your energy early in the day, or you’ll fade by mid-afternoon. Rest is as important as hard work for achieving anything of consequence in a decent amount of time.

8. Respect your biological cycles. No matter what you do, you’ll go through energy cycles during the day. Circadian rhythms, sleep cycles, hormone cycles, and similar biological clocks can all conspire to rob you of energy. Instead of trying to work through the low cycles, take a few minutes off to revamp your energy level.

No matter how often you might wish otherwise, you’re not a robot and can’t go non-stop, especially if you’re desk-bound for most of the day. Occasional breaks are necessary for mental and physical health. You need to get up and stretch your legs, to get your heart pumping and your blood circulating — or you just may start feeling rusty!

Exercise? But I don’t have the energy to exercise!

It will infuse your energy and boost your mood. It will help you lose weight and decrease your risk of disease. It is a miracle! But 80% of Americans don’t take it, even at its lowest dosage. Why? Because it’s exercise.
Exercising will give you the energy you need, because it speeds up blood flow and your breathing rate, which brings more oxygen to your heart, lungs, brain, and muscles — and when it comes to high energy, oxygen is your friend. Here’s what you can do to bring on the O2:

1.      Do something for thirty minutes. Any type of aerobic exercise strengthens your heart and lungs and improves blood flow. It also releases endorphins (nature’s painkillers), improves your mood, and fortifies you against minor viral illnesses.

2.      Stop relying on your car so much. Walking is an excellent form of aerobic exercise, and it’s surprisingly effective at boosting your energy level. For best results, buy a pedometer and make sure you walk 6,000-10,000 steps a day.

3.      Include weights in your fitness routine. Lifting weights is the most effective way to build up strong muscles, which leads to stronger bones and a reduced risk of injury. It also speeds up oxygen flow, which will help perk you up.

4.      Sneak fitness into your routine. Instead of complaining that you don’t have time to exercise, try sneaking in a little while you’re doing something else. Park farther away from the store while shopping, for instance, or do squats while reading.

5.      Shake up your workout.  If your exercise routine has you bored out of your skull, try something different. Change your level of effort, shuffle your workout into a new order, or experiment with a new kind of workout altogether.

6.      Work out when you travel. Have you ever decided it’s too much trouble to bother with your normal fitness routine when traveling? Instead of rationalizing yourself out of exercising, create a travel workout plan and stick to it.

7.      Get a workout buddy. If you lack the discipline to exercise regularly on your own, work out with someone else: a family member, a friend, even a paid trainer. That way you’ll have someone to lean on, who’ll guilt you into exercising when you don’t want to.

8.      Bribe yourself.  Offer yourself a little reward for completing a workout. It could be anything that makes you happy: a new outfit, a round of golf with your buddies, or a favorite TV show you only to watch while exercising.

The less active you are, the less energy you’ll have: it’s that simple. A sedentary lifestyle contributes greatly to fatigue — so fight that fatigue with the oxygen burst that regular exercise will contribute.  Figure out how to move, and move daily.

How will sugar, water, and stimulants affect my work during the day?

Poor nutrition can be as draining as the wrong diet, and the consequences can sneak up on you. If you’re constantly dragging, and you suffer headaches or an inability to get enough sleep despite following proper sleep habits, you may be suffering from a nutritional deficiency.

Sometimes, all you have to do to power up your energy is to recognize the symptoms of nutritional imbalances, and then to take steps to address them. These tips can help you with that.

1. Get a good balance of essential nutrients. Things can go wrong with your body if you don’t make sure it gets all it needs to function right. Check your symptoms, and eat more of what you might be lacking. Vitamins may be in order, too.

2. Replace favorite foods with metabolism-boosting substitutes. Too much sugar can activate your appetite instead of control it. Try an egg-white omelet in the morning instead of cereal, or a protein shake in the afternoon.

3. Hydrate yourself. If you feel like you’re drained dry, maybe you are. While technically not a nutrient, we don’t get all the water we need from the food we eat, so supplementation is essential.

4. Steer clear of stimulants. There’s no doubt that stimulants perk you up, but they do it in a way that you have to pay for later. Even legal stimulants trigger a “fight-or-flight” reflex that releases stress hormones, followed by a big energy slump.

5. Limit your alcohol consumption. Will the occasional beer or glass of wine with dinner hurt you? Not really, but alcohol is a depressant; too much at any one time can negatively impact your energy level for a day or more.

6. Stop smoking! Not only does the kickback from nicotine cause a short-term energy loss, in the long term, smoking can damage your lungs, decreasing your ability to take in oxygen — a vital energy fuel.

7. Focus on convenience. If you’re working hard to increase your energy level through good nutritional habits, make it easier to succeed. Start by limiting the worst energy stealers in your environment, and make it convenient to eat right.

8. Clear your house of junk. Get rid of those temptations! Keep sugary and high-fat snacks out of your cupboard, both at work and at home, and clear out the liquor cabinet, too. Don’t forget to throw out the cigarettes while you’re at it.

Your body needs certain food and nutrients for repair, growth, and energy. If you’re not getting all you need, you’ll eventually run down. So learn to overcome your poor nutritional habits, or you’ll pay the metabolic price.
